How Your Way Holiday supports WeRoad Group Leaders across seven Chinese destinations with reliable local ground handling, multilingual guides, and flexible team operations.
When international group tour operators bring travelers to China, the success of the trip depends entirely on local execution — transportation, tickets, guides, timing, and countless small details that make each day flow smoothly.
Since 2025, Your Way Holiday has been supporting WeRoad Group Leaders with end-to-end ground operations. What began as requests from individual Group Leaders has grown into a reliable partnership, with approximately 50 group projects completed and over 500 international travelers supported throughout China.
Who WeRoad Travels With — and What That Means for Ground Operations
WeRoad is not a traditional tour operator. Their brand promise —"Travel with people like you"— translates to a very specific type of group and a very specific set of operational requirements that directly shape how we deliver our services.
Young traveler demographic— most WeRoad groups are in their 20s and 30s, with a different rhythm: they want early starts, late finishes, flexible pacing, and free-time blocks for spontaneous explorations (hunting down a hidden dumpling shop, staying at a viewpoint for sunset, joining a street food night market). Our guides are trained to read this energy and adjust the day's flow without rigid schedules.
Small group sizes (4–16 travelers)— the WeRoad "from 3 to 15 days, 130+ trips" model means our ground operations must scale both down (4 travelers in a 7-seat MPV) and up (16 travelers across a 38-seat coach) with zero friction. Every vehicle tier in our fleet exists because WeRoad groups need it.
Cost-conscious but not budget-only— WeRoad teams are price-sensitive but prioritize value. A 30-seat bus isn't just cheaper — it lets us keep the group together, which matters for safety and group dynamics. Our transparent, itemized quoting (every vehicle, every guide, every attraction priced separately) is built for operators who compare line-by-line.
Extreme flexibility requirements— WeRoad itineraries change. A traveler drops out two weeks before departure, someone else joins at the last minute, a day gets added, a city gets swapped. Our 24-hour re-coordination window (see Section 10) is not a marketing number — it's the minimum we deliver because WeRoad groups need it to exist.
Multi-stop, multi-city routes— WeRoad's signature routes chain 4 to 7 Chinese destinations in a single tour. This is the scenario where our single-coordination-window model delivers the most value: one contact person, zero supplier juggling, one shared itinerary document for the entire trip.
Every process described in this case study — the vehicle tier system, the 24-hour re-coordination pipeline, the single-point multi-city coordination window — exists because WeRoad groups required it first. That's why this case study is useful for any group operator: if our ground handling works for WeRoad, it works for anyone who brings real travelers to China.
This case study explains how we operate, what services we deliver, and the real coordination processes behind every tour.
01 — Partnership Background & How Communication Works
Our collaboration with WeRoad began in 2025, driven by specific requests from individual WeRoad Group Leaders leading their own tour groups into China. Each leader comes with their own route, group size, travel dates, and service requirements — and we provide the local execution to make those itineraries work on the ground.
Group Leaders reach out by sharing their draft itinerary — which cities they want to visit, how many travelers, which language they need for guides — and we return a detailed ground handling plan.
How Communication Works
Getting started with us is straightforward. Here's the exact process:
Proposal Phase
We will reply within 24 hours with a detailed quotation listing the exact cost for every vehicle, guide, and attraction. The quote is itemized and transparent — you'll see exactly what you're paying for each service component.
Final Confirmation
️ What we need from you
Once the deposit is received, we need the Group Leader to provide three items before we can pre-purchase tickets and lock in all bookings:
Passport photos of all travelers— one per person
Hotel details for each city— hotel name and full address
Train information— train numbers only
With these in hand, we proceed to pre-purchase all attraction tickets and coordinate vehicle/guide bookings across all destinations.
Payment
Payment Type | When | Accepted Methods |
|---|---|---|
30% Deposit | At booking — to secure all arrangements | PayPal · WeChat Pay · Alipay · Bank Transfer · Wise |
Balance | Before your tour ends | PayPal · WeChat Pay · Alipay · Bank Transfer · Wise · foreign currency cash |
Helpful Tips for Inquiry
When you reach out, please share:
The exact playing date for each city— day-by-day breakdown of which city on which date
Exact headcount— number of guests + 1 Group Leader
Preferred guide language— English, Spanish, or Italian
Forbidden City Tickets
Must be purchased 7 days in advance. If online tickets sell out, walk-up queue purchase is still possible at the entrance — your guide will assist with this.

Why This Works for WeRoad Groups
This is a 12-day journey covering eight stops — Beijing, Pingyao, Xi'an, Chengdu, Chongqing, Furong Town, Zhangjiajie, and Shanghai — with five high-speed train segments and one domestic flight. Every arrival is met, every departure is dropped off, and every attraction, meal, and hotel is pre-coordinated. For the WeRoad group leader, this means dealing with one ground operation contact for the entire journey — no juggling separate suppliers in eight different Chinese cities.
Every train ticket, flight, vehicle, guide, and attraction booking was arranged by our coordinator before the group arrived in each destination. The Group Leader only needed to focus on leading the travelers.
These routes are recommendations, not fixed packages— every itinerary can be customized around the group's preferences, including the final drop-off point (an attraction, a pier, a restaurant, or the train station — all negotiable). We can run a shortened 7-day line (Beijing → Pingyao → Xi'an → Shanghai), expand into a 14-day Grand Tour with Guilin, or strip it down to a 4-day Beijing-only segment. The day-by-day structure above is the route we operate most frequently for WeRoad groups.
05 — Multilingual Local Guide Services
One of the most frequently requested services from WeRoad Group Leaders is local guiding in languages other than Chinese. We match guides based on the group's language needs and itinerary complexity.
English-Speaking Guides
Primary demand across all 50+ projects. Guides hold China National Tour Guide Certificates and have leading international groups experience. Available across all seven destinations. Pre-trip briefings include meeting point confirmation (exact gate number), key historical talking points tailored to the group's background, and daily timing breakdowns.
Spanish-Speaking Guides
We maintain a roster of experienced Spanish-speaking guides across our key destinations. Available in Beijing, Xi'an, Chengdu, Guilin, Zhangjiajie, and Shanghai. Note: Pingyao currently only has English-speaking guide coverage— we will confirm this during proposal phase and make alternative arrangements if needed. Peak season (April–May, July–August, September–October) availability is extremely limited— we recommend booking as early as possible to ensure guide coverage.
Italian-Speaking Guides
Arranged specifically for Italian tour groups. Due to the limited pool of qualified Italian-speaking guides, we require at least 1–2 weeks advance notice for Italian guide requests. Our Italian-speaking guide roster covers all seven destinations. Guides coordinate directly with Italian Group Leaders to confirm dietary preferences and tour pace expectations. Note: Pingyao currently only has English-speaking guide coverage for Italian groups as well. Peak season (April–May, July–August, September–October) availability is extremely limited— we recommend booking as early as possible.
How Guides Are Matched to Groups
Language Confirmation — The Group Leader specifies guide language (English / Spanish / Italian) during the initial contact.
Itinerary & Experience Match — Where possible, we prioritize guides who have previously led WeRoad group tours. These guides are already familiar with the typical pace, flow, and coordination expectations of WeRoad itineraries — this familiarity translates to smoother on-ground execution.
Pre-Trip Contact — We provide the Group Leader with the guide's direct contact information 3–7 days before tour start. The Group Leader can reach out directly to re-confirm meeting point, departure time, and any specific group requests.
What Guides Deliver On-Site
Cultural commentary— historical context at each attraction, delivered in the group's language
Group assembly— headcount checks every 30–45 minutes during free-walking portions
Timing management— keeps the group on schedule for reservations, transfers, and restaurant bookings
Local food recommendations— guides suggest restaurants based on group dietary preferences and budget, going beyond pre-booked options
Free-time suggestions— hidden dumpling shops in Shanghai, the best tea houses in Chengdu, quiet viewpoints near Xi'an
On-the-spot translation— communicates with drivers, restaurant staff, and attraction ticket counters
Problem resolution— handles lost tickets, delayed vendors, weather adjustments, and traveler requests in real time
06 — Comprehensive Ground Operations
Beyond guiding, we deliver a complete ground handling package that integrates four core service areas. Here's exactly what each includes.
Transportation
We maintain partnerships with local rental companies in all seven destinations and deploy a wide range of vehicle sizes to match group size and luggage volume.
Available Vehicle Sizes
7-seat MPV · 9-seat commercial van · 14-seat minibus · 17-seat medium bus · 20-seat bus · 22-seat coach · 30-seat coach · 38-seat coach · and larger configurations available on request.
Luggage Note
If a group travels with full luggage (e.g., one large suitcase per person), we may recommend a larger vehicle than strictly needed for headcount alone— this ensures comfortable seating and proper luggage storage. We account for this during the proposal phase.
Attraction Tickets — Booking Windows & Quotas
Many popular Chinese attractions require advance booking and have strict daily entry quotas. We monitor these timelines and submit bookings on behalf of the group at the required intervals:
Attraction | City | Advance Booking | Daily Quota | Pro Tips |
|---|---|---|---|---|
Forbidden City | Beijing | 7 days | 80,000 | If sold out online, walk-up queue purchase available — guide assists |
Terracotta Warriors | Xi'an | 3 days | 65,000 | Visit afternoon, not morning — entrance is most crowded at opening. Most efficient routing: city-center sights first → Terracotta Warriors → train station (saves time & follows a natural line) |
Zhangjiajie National Forest Park | Zhangjiajie | 1 day | — | Ticket valid 4 consecutive days. We also coordinate Bailong Elevator & Tianmenshan cable car access |
Oriental Pearl Tower | Shanghai | 7 days | — | Timed entry slots (30-min intervals 09:00–21:00). We pre-book observation deck + Huangpu River cruise combo |
Li River Bamboo Raft | Guilin/Yangshuo | 3 days | — | Max 6 people per raft. 2-person "couple rafts" available on request |
Chengdu Panda Base | Chengdu | 1 day | — | We recommend 07:30 entry (first slot) to see pandas active during morning feeding |
Restaurant Coordination — Per-City Restaurant Selection
We maintain a network of partner restaurants across all seven destinations. Each restaurant is vetted for English-menu availability, group seating capacity, and ability to handle special dietary requests.
City | Recommended Cuisine | Examples & Notes |
|---|---|---|
Beijing | Peking Duck, Beijing noodle shops | Quanjude, Dadong (duck specialty). Private rooms available for larger groups. |
Pingyao | Shanxi noodles, Pingyao beef, ticket-noodle shops | Family-operated. We pre-order to avoid waiting at peak hours (12:00–13:30, 18:00–19:30). |
Xi'an | Muslim Quarter lamb & beef, Yangrou Paomo, Roujiamo | Halal-certified options available. |
Chengdu | Hotpot, Mapo Tofu, tea houses | Dalongyi, Xiaolongkan (mild-spice English menu variants available). |
Guilin | Li River fish, bamboo shoots, rice noodles | Riverfront dining options available by advance arrangement. |
Zhangjiajie | Wild vegetables, Tujia ethnic specialties | Limited restaurant selection in the park area; we pre-book the group dining hall in advance. |
Shanghai | Bund waterfront, Shanghainese crab (seasonal) | International cuisine backup options available. Private dining rooms available. |
Integration Value
We don't sell individual services. We coordinate transportation (exact vehicle + driver), attraction tickets (exact booking window), restaurant reservations (exact restaurant + time), and guides (exact language + meeting point) into one daily execution plan. The Group Leader sees one coherent picture — we handle the rest.
07 — Multi-City Coordination: One Window for All Destinations
One of the most appreciated aspects of our service is that Group Leaders work with one coordination window, even when a single tour passes through multiple Chinese cities.
One Coordination Window
The Group Leader communicates with one assigned Your Way Holiday coordinator for the entire tour. That coordinator manages all destination-level bookings — vehicles, guides, tickets, restaurants — across all cities. No need to find, contact, or manage a separate supplier in Beijing, Xi'an, Chengdu, and Shanghai.
Clear Final Confirmation
At final confirmation, we provide the Group Leader with a comprehensive document listing every detail for every city: exact pick-up times, pick-up addresses, who will meet the group (guide name), and which attractions are planned each day. No spreadsheet to manage — just one clear document the Group Leader can refer to at any point during the tour.
Inter-City Handover
At the final confirmation stage, we ask the Group Leader for all train information (train numbers). Our coordinator will re-confirm every train time with the Group Leader before the tour departs— the Group Leader simply replies "yes" or "no" for each one. No need to re-send the same information. We also coordinate all city-to-city handovers so the next destination's team knows exactly when and where to meet the group.
All destination-level services are delivered by local teams in each city — local guide agencies, vehicle rental companies, and restaurant operators — while Your Way Holiday aligns all of them around the group's itinerary.
08 — Real Case Study: Managing Changes in Group Size
Case Study 01
14 → 12 people vehicle swap across 4 cities
Situation A WeRoad Group Leader booked 4-city ground handling (Beijing → Xi'an → Chengdu → Shanghai) for 14 travelers. Two weeks before departure, 3 travelers cancelled and 1 last-minute addition joined — final headcount: 12 people. The original booking included a 17-seat bus for Beijing & Shanghai and a 30-seat bus for Xi'an & Chengdu, covering all four cities.
What Changed
Vehicles: 17-seat → 14-seat for Beijing & Shanghai (pricing adjusted accordingly)
Attraction tickets: 14 sets reduced to 12 sets — resubmitted with updated traveler names
Restaurant bookings: 14-seat private rooms → 12-seat tables — all 4 cities re-confirmed within 24 hours
Coordination Flow — After the Group Leader confirmed the new headcount in writing, our standard re-coordination pipeline (see Section 10) ran across all four cities. Whole process completed within 24 hours.
Outcome The tour departed with 12 travelers in correctly sized vehicles per city (14-seat in Beijing & Shanghai, adjusted arrangements in Xi'an & Chengdu), 12 matching attraction tickets across all cities, and updated restaurant seating. No element of the ground plan was left uncoordinated.
09 — Real Case Study: Handling an On-Tour Health Issue
Case Study 02
A traveler fell ill on tour day — ticket cancellation and schedule protection
Situation On a tour day, one traveler in the group felt physically unwell and couldn't join the day's visits. The Group Leader informed us that morning.
Action We immediately checked whether that day's attraction tickets could still be cancelled at short notice — and where cancellation was possible, we cancelled right away so the corresponding cost could be deducted from the final balance payment.
Coordination Meanwhile, the guide re-coordinated the day's meeting time and meeting point with the Group Leader, confirmed every group member was accounted for, and made sure the rest of the group departed on time — the ill traveler's situation did not delay the group's schedule or affect the following itinerary.
Outcome The unwell traveler rested at the hotel, the group completed the day's program on schedule, and the cancelled ticket cost was transparently deducted from the final payment. The Group Leader handled one message; we handled everything else.
10 — Flexible Group Management
Changes happen. Bookings shift, itineraries evolve, and group needs adjust. Here's how we handle common flexibility requests:
Standard Re-Coordination Pipeline
Verify new headcount with Group Leader in writing
Recalculate pricing per new size with line-item breakdown
Rebook vehicle tier as needed: 5-seat → 7-seat → 9-seat → 14-seat → 17-seat → 20-seat → 22-seat or larger
Update all attraction ticket counts, verifying min/max group rules per attraction
Update restaurant reservations to match new headcount
Adjust guide assignments if shift times need updating
Whole process typically completes within 24 hours.
Itinerary Adjustments — If a Group Leader asks to add "Jingshan Park" to the Beijing day, for example, we: (1) confirm whether tickets are needed and whether we should handle the booking; (2) confirm whether the existing guide and driver will accompany the additional attraction; (3) notify the guide and driver of the final change. All changes are logged in the shared itinerary document so the Group Leader has one consistent reference.
Resource Coordination — All our bookings — vehicles, guides, tickets, restaurants — are tracked in one system. If a vehicle change happens, the system flags whether guide shift times need adjustment (e.g., a later pick-up means the guide's start time shifts). No element of the plan changes in isolation.
11 — Special Requests & Dietary Requirements
Every group brings its own set of special needs. We handle them with pre-trip preparation and verified local resource checks. Please share all special requirements with us during the booking phase — the earlier, the better.
Category | How We Handle It |
|---|---|
Vegetarian & Vegan Meals | Requirement recorded for whole tour during booking phase. Chengdu hotpot groups get a separate vegetarian broth pot; Xi'an Muslim Quarter groups get restaurants with explicit vegetarian menu sections. |
Halal Food | Verified halal restaurant list maintained per destination. Xi'an Muslim Quarter has all-halal restaurants; Beijing & Shanghai use halal-certified venues with English menus. |
Food Allergies | Specific allergies (nut, seafood, gluten, etc.) collected during booking and communicated to every restaurant. Gluten-free availability pre-confirmed with restaurants — not all Chinese venues have dedicated options, so we verify in advance. |
Physical Mobility | Routing adjusted for travelers with mobility limitations: e.g., Zhangjiajie skips Wulingyuan stair section, uses Bailong Elevator directly; Beijing requests wheelchair-accessible entry at Mutianyu Great Wall. Local hospital/clinic contact info maintained per destination. |
Accessibility & Disability Ticket Note
China's major attractions offer disability concessions (typically 50% discount or free entry) for travelers with valid disability documentation — for foreign visitors, the guide usually needs to ask on-site whether the discount applies, as policies and enforcement vary. Some attractions accept international disability cards, others require different supporting documents. We inform the Group Leader of the known requirements before ticket purchase, and the guide follows up on-site.
12 — Operational Support During the Tour
Once a group is on the ground, our team stays involved with these specific processes:
Day Before Arrival
The Group Leader can contact the guide directly the day before arriving in each destination to re-confirm all key details: exact headcount, departure time, meeting location, and any last-minute requests. This check-in is fully in the Group Leader's control.
On-Trip Support
During the tour, the Group Leader can reach the Your Way Holiday coordinator directly for any issues, adjustments, or questions that come up mid-tour. This includes: vehicle problems, attraction delays, restaurant changes, route adjustments, or any other operational concern. We handle re-coordination with local teams and report back to the Group Leader.
13 — Service Quality & Continuous Improvement
Your feedback helps us improve. We offer two channels for groups to share their experience:
Destination feedback forms— available in some cities after the day's tour. The Group Leader can choose to fill these out to share specific thoughts on the day's guide, vehicle, restaurant, or attraction timing. Participation is completely optional.
Direct coordinator feedback— Group Leaders can message or call their assigned Your Way Holiday coordinator at any point during or after the tour to share feedback, suggestions, or highlights. This is our preferred channel for open, ongoing communication.
All feedback is logged into our project database and used to improve future tours — from guide assignment preferences to restaurant selection and timing adjustments.
"Your Way Holiday made our China tour incredibly smooth. I didn't have to manage seven different city suppliers — one contact handled everything from Beijing to Shanghai. The vehicle was exactly the 14-seat we needed, our English guide knew every story at the Terracotta Warriors, and the Chengdu restaurant was pre-booked so we skipped the queue we'd heard about from other groups."— Teresa, WeRoad Group Leader, 2026 China Tour
